Job title: Operations  and Finance Manager

Location: Vancouver or Toronto preferred, but flexible for the right candidate who is willing to work remotely. 

Compensation: This is a full-time position, 40 hours/wk in the management team
$50,000 - $60,000 annually

About the role: The Operations and Finance Manager (OFM) contributes to Leadnow’s ongoing success as a high-impact social change organization in two important ways. First, the OPM develops, implements, and maintains organizational systems and processes that will improve Leadnow’s efficiency and productivity. Second, the OFM works closely with the Executive Director to develop and maintain strong financial systems as well as develop and implement internal organizational policies and best practices.  We are looking for an individual who enjoys a face paced multifaceted environment and who is cool under pressure. The OFM plays a key role in ensuring that Leadnow is an effective, stable, and sustainable organization.

The Operations Manager coordinates the operations team, participates in the management team and reports to the Executive Director.

Responsibilities:

Manage the day-to-day operations of the organization
  • Manage organizational contracts, including reviewing quotes and contracts with vendors and contractors?
  • Manage invoices, expense claims, and accounts receivable?
  • Oversee administrative aspects of Leadnow.ca's human resources, including contract preparation, payroll inputs, staff benefits program, and other HR generalist duties?
  • Support effective organizational record-keeping and digital security?
  • Oversee administrative systems that enhance organizational effectiveness?
  • With the Executive Director, assist with regular risk analysis of the organization’s operating processes ?
Ensure effective budgeting and accurate reporting to support strong governance and financial accountability
  • Work with the operations team to ensure timely and accurate financial reporting?
  • With the Executive Director, prepare and revise annual operating budgets and provide support to team members managing budgets?
  • Manage annual financial audits with support from the Executive Director and operations team?
  • Ensure timely preparation and submission of regulatory filings i.e. Workers compensation, Industry Canada ?
Human Resources
  • Manage human resource procedures, ensuring best practices?
  • Oversee recruiting, hiring and training processes?
  • Create and manage contracts?
  • Oversee implementation of the collective agreement ?

Required qualifications & attributes:

  • 3-5 years' experience with organizational operations, including contracts, finances, and office management?
  • 1-2 years' experience managing teams that are responsible for getting details exactly right?
  • 1 -2 years human resources experience  ?
  • Exceptional independent problem-solving skills?
  • Strong attention to detail and superior organizational and analytical abilities ?
  • Tech savvy, familiar with online collaboration tools such as Googledocs, Trello, etc ?
  • Experience developing and implementing organizational policies?
  • Excellent at interpersonal dynamics and comfortable working remotely with a team spread across four time zones?
  • Interest in developing, strengthening, and implementing best practices in a young non-profit?
  • Resilient in the face of new and evolving challenges ?
  • Passionate about social change and politics in Canada?
  • Friendly, motivated, patient, confident, and professional?

Desired but not required:

  • Knowledge of non-profit small donor fundraising and donation processing, including donor privacy legislation?
  • Familiarity with working with a collective agreement in a unionized workplace?
  • Knowledge of common accounting software and Canadian GAAP standards ?
  • Experience working with volunteers and/or extensive customer service experience?
  • Experience working or volunteering in an advocacy non-profit?
  • Experience working in fast-paced and rapidly developing young organizations?
